Role Details

Our client, a leading financial institution based in Jeddah, Saudi Arabia, is seeking a professional and experienced Executive Secretary to support a C-Suite executive. This role demands an individual with exceptional organisational skills, a strong attention to detail, and the ability to handle sensitive information with the utmost confidentiality.

The Role
 

  • Manage the executive’s diary, schedule appointments, and coordinate meetings to ensure smooth daily operations.
  • Prepare reports, draft routine correspondence, and type from dictation or written sources with accuracy and professionalism.
  • Screen all incoming calls, respond as appropriate, and take necessary action.
  • Draft routine correspondence for approval and obtain necessary signatures.
  • Greet and receive visitors to the executive’s office, ensuring a professional and welcoming environment.
  • Attend departmental meetings, record minutes, and ensure timely distribution of action items and follow-up tasks.
  • Coordinate logistics for meetings, including venue booking, travel arrangements, equipment set up, and hospitality arrangements.
  • Assist with regional HR-related matters as required, supporting the broader team with administrative HR tasks.

Our Ideal Candidate
 

  • At least 3 years’ experience in an executive administrative or secretarial role.
  • Excellent command of both written and spoken English and Arabic.
  • The ideal candidate will be a female Jordanian or Egyptian national currently residing in Jeddah, with a proven track record of providing high-level administrative support.
  • Strong organisational and time-management skills with the ability to multitask effectively.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Discretion and ability to handle confidential information sensitively.
  • Strong interpersonal skills and the ability to interact with senior executives and stakeholders professionally.
